Getting started as a teacher

So you’ve been invited to QuickSchools as a teacher/staff (not as an administrator). What are some of the things I need to know to help me get started?

  • Logging in: You should have received an email from your school administrator with your login credentials. Just click on the link, and log in using the password provided. Your username is always your email address. If you have not received an email invitation, check with your school administrator, or come chat with us. Our technical support team can check on the status of the invitation.
  • Bookmark the URL: Every school has a unique URL for accessing QuickSchools, per the email invitation that you received. So please bookmark it on your browser, so that you can easily get back to in in the future.
  • Forgetting your password: If you forget the password, you can simply click on the “Forgot my password” link on the login screen. An email confirmation will be sent to you, where you will be asked to enter a new password upon verification.
  • The Teacher’s Lounge: This is the first screen you’ll see when you log in. Use the Teacher’s Lounge to communicate with other teachers. You can share comments, pictures and files, as well as events. Everything in the Teacher’s Lounge is specific to staff (parents/students do NOT have access to it). This area is useful for sharing announcements, upcoming school events like fund-raisers or conferences, or even teacher birthdays.

Skills-based Report Cards for Montessori Schools

The QuickSchools Report Cards module has evolved tremendously over the years, thanks to feedback from our family of schools. And we’re very proud of the simplicity and the flexibility it has to offer. Although we already offer a variety of report card templates that can suit the needs of many schools, we can also create custom report cards for schools that have very specific formats.

Below is a sample booklet-style skills-based report card that can be used for Montessori schools:

Mailing Address Labels for Parents via Mail Merge

We’ve been asked several times on how to create mailing address labels for parents. This can actually very easily be done using MS Excel and MS Word. Here’s a quick tutorial:

First, Download the Mail Merge file from QuickSchools

Assuming you have access, just go to “Reports”, and find the “Parent Data for Mail Merge” report on QuickSchools, attached to “Current Student Data”. It is most likely on page 2 or 3 of your “Reports” menu.

Private Messaging for Parents

It’s finally here! QuickSchools has released Private messaging for parents. So parents can now message teachers as well as other parents.

For parents, if the feature is enabled, you should see a new menu called “Directory” on your Parent Portal:

This menu will list out teachers and parents within the school. Just click on “Send Message” to send a message to the teacher or parent. Also on the top right, is the private message icon. Gradebook / Grading Scales for Kindergarten

With QuickSchools, you can set up /use a Kindergarten grading scale for your Gradebook.

Creating the Kindergarten Grading Scale

If you have access to Grading Setup (administrators can use the Features Page to configure access), just click on the “Add Grading Scale” button.

You can setup different scales for different subjects. The easiest scale is to simply assign a number to a letter grade assessment. Here’s an example:

This method is for an administrator to create a shared grading scale for all teachers in the school. Individual teacher can create their own grading scales as well, but these would not be shared.

Managing User Access via the Features Page

Managing user access can be a complicated affair. Often times, users are bombarded with a deluge of menus and options, to the point where you can’t make sense of anything. Vendors can be so determined to show off all their features, that they end up confusing you with features you don’t even need. That’s where we’re different.

At QuickSchools, we make it a point to only show you what you need, when you need it. In fact, when you first sign up for a free trial, you only have 5 menus –  “Getting Started”, “Home”, “Teachers”, “Students” and “Reports”. So where are all the other modules (because you know we have more)? This is where the “Features” page comes in.

The “Features” page is only available to the school administrator, and it controls modules as well as access to modules. In the beginning, all modules are turned off, and we recommend activating modules one at a time, to ensure all users know how to use a module before rolling out another. Key to a successful roll-out

We’ve worked with a plethora of schools, each with their own goals when using a school administration system. Some want to gain efficiencies within their internal processes. Some want to solve a specific problem within their organization. Others see it as a competitive edge that can differentiate them from their competitors. Whatever the motivation, once you find that “perfect” system, it’s not always easy to roll it out to your organization.

Adoption of software has always been a difficult problem, for systems in general, especially when there is a wide range of users, each with their own unique skill set and experience. At QuickSchools, we try to simplify the adoption process. So how do we do it?

1 – Keep the application simple

Simplicity is key. We try very hard to simplify the interactions that you have with QuickSchools. For example, entering evaluations for report cards should be intuitive and easy to understand. It should NOT be a string of screens designed to limit data entry errors (but instead creates more work for the user). We’ve learned this lesson, and we’ve incorporated it into our philosophy, so that users can adopt our software quickly and more easily.

QuickSchools is great for Trade Schools and Small Vocational Institutes

QuickSchools is not just great for K-12 schools; we’re great for all kinds of small schools, including trade schools and vocational institutes. If you have a school for adults, albeit a nursing school, a driving school, or a school for culinary arts, you can take advantage of QuickSchools to keep track of performance and communicate with all your students.

The first time you sign up for a free QuickSchools trial, you’ll notice that your account is configured for K-12 by default. But you can very easily change your settings to accommodate your particular type of school. Here are some steps to help you get started:

Step 1: Turn on College Level Settings

To turn on the College Level Settings, click on the “Features” link on the top right, and then click on the “Edit Overall Settings” button near the top right:

From there, make sure you check off the “Turn on College Level Settings” check box.

Once you save, you’ll notice a new “Class Setup” menu along the top. Click there for the next step.

Step 2: Set up your Programs
