New QuickSchools Report Cards Module

We rolled out a new QuickSchools Report Card module just this past summer. For some of our older subscribers still using the old Report Card module, here is a quick run down of the new module:

No more submission flow

Report cards no longer need to be submitted by teachers and principals before they get finalized. Instead, report cards can be edited by all parties involved. At the end of the marking period, the report cards can be published all at once, making it accessible to students and parents immediately via their respective portals.

Also, to make changes to a completed report card, you simply need to unlock the marking period, and make changes directly to the report card. You no longer need to revert the report card, and then resubmit it.

Customize your own Report Cards

The new Report Cards module comes with a number of report card templates that you can choose from. After selecting a report card template, you can then further configure elements within the report card module. You can even hide or rename fields. This means that schools can start producing meaningful report cards minutes after sign-up, instead of having to wait for our technical staff to customize it for you.

New WYSIWYG Interface

When you edit the report card, you get to see what it looks like as you edit it. You don’t need to wait until the report card is finalized before you can see it. Also, this means that you can print out empty report cards if needed.

Control what subjects are shown in the Report Cards

The report cards will automatically display subjects based on what the student is enrolled in. However, you have the option of hiding specific subjects from the report cards. Say you have a “Homeroom” subject that you’ve created for attendance purposes, or a “Physics Lab” for scheduling purposes, you can now hide these from the report cards on your own, if you need to.

Deactivate specific report cards

You can now deactivate specific report cards from the marking period; making them inaccessible even after all the report cards are published. This would help schools that want to withhold grades from specific parents who have not paid their dues.

Blog Entries Re-Categorized

We’ve just re-organized our blog articles to make it easier for you to reference materials posted on our blog. You can now very easily look at all the tutorial-related articles posted on our blog, via the “Tips and Tutorial” category.  There’s a special category to discuss new features and recent releases. You can also look at testimonials, as well as events and conferences that we may be attending. Check it out!

Managing Parent Relationships

In QuickSchools, you can already link students as siblings via the “Parents” tab on the student screen. This saves time by allowing administrators to manage/update only one set of parent records (parent records for siblings are automatically updated). Also, when a parent logs in, he/she will have access to all students linked to that parent record, from a single login:

Say goodbye to Gradebook Incompletes

In a recent article, we discussed how the gradebook will display an “I” for incomplete, if the system does not know how to calculate a grade, due to missing categories in the gradebook. We heard you, and we now have the option of re-normalizing the calculation by removing missing categories.

To re-normalize, you can go to the “Grading Setup” menu, and select the appropriate “Grading formula behaviour” from the dropdown below. Here’s what the dropdown looks like:

What’s up with the “Incomplete” grade in the Gradebook?

If you’re new to our gradebook, you may notice something strange. What’s up with the “I”s? Why do some students have a final grade, and some don’t? Here’s an example of what your gradebook might look like (Notice the “I”s on the far right column):

In this example, we’ve configure the final grade to consist of 60% Assignments and 40% Tests. If you click on “(Formula for final grade)”, the calculation might look something like this:

Remember to clear the test data in your account!

Occasionally in some of the newer accounts, users will realize that there are unfamiliar names in the midst of your students’ list. You may have seen names such as Amber Phillips, Alvin de Silva, Felicity Bradshaw, etc under the Students tab.  Why is this?

Remember, when you first start your trial, the account has some test data so that you can see how the major functions of the system work.

And sometimes, as you move from testing the system during the trial to using the system properly to run your school, you may have not realized that those students are still in the list.

To clear the test data, go to the Getting Started page and just click on the checkbox, “Clear test data.”

Once you remove the test data and the Getting Started page, you may lose some of the Features you may have turned on during the test mode. Do not panic. 🙂 Just go back to the Features screen and turn those back on. All your data will be restored safely e.g. Gradebook, Homework, Attendance, etc.

So again, remember to clear the test data to avoid confusing users in your school… 🙂
